Specific accountabilities :
Reporting to the Coordinator, Technical Services, the Assistant Coordinator is responsible for the effective execution of designated tasks, including activities related to cleaning the property’s ventilation systems, managing contracts and service agreements, administering the risk management program, and developing and managing computer-assisted maintenance systems.
Analyze, coordinate, plan, oversee and closely monitor the quality of designated services;
Assist the Coordinator, Technical Services, in managing vertical transportation equipment, handling hazardous materials, providing support for major projects and administering plans and specifications;
Supervise cleaning operations for ventilation systems, including evacuation systems (owners and tenants induction units (external and internal ventilation conduits and mechanical system components;
Supervise the work of employees assigned to clean the exterior of induction units and mechanical rooms;
Implement monitoring tools and keep records to ensure the effective management of service agreements and contracts involving technical services (e.g snow removal, waste management, self-propelled work platforms, and uniforms for unionized employees;
Make recommendations to the Coordinator about potential maintenance-related improvements, anomalies and/or repairs to be made, in accordance with internal policies and assigned budgets;
Collect, analyze and compile technical data to develop a preventive maintenance system for technical services;
Provide follow-up with regard to the RiskCheck risk management program;
Ensure all mechanical rooms on the premises are properly maintained and kept neat and orderly at all times;
Replace procurement officer and/or dispatcher as needed;
Carry out any other related tasks requested by the immediate supervisor.
College diploma (DEC) in building services or another course of study deemed equivalent;
Experience in procurement or administration preferred;
Three to five years of practical experience in a similar position;
Good sense of teamwork, initiative, judgement and discretion; self-motivated and highly organized;
Ability to adhere to established deadlines;
Excellent customer service mindset;
Fluency in written and spoken French; ability to communicate in written and spoken English an asset;
Team spirit and commitment to continuous quality improvement;
Proven ability to work in a computerized environment; proficiency in Word, Excel and OneWorld.
